From 2-day intake to 11-minute intake
A 42-person law firm replaced a 5-paralegal intake team with a Claude-backed assistant that triages, drafts, and books the right cases straight onto a partner's calendar — in 4 weeks.
The bottleneck was paralegal time on intake. Five paralegals were fielding 200+ inbound inquiries a week, and half of those weren't fits.
We built an intake assistant on top of their existing CRM. The flow: inbound form → AI scoring against the firm's case-fit criteria → drafted reply (matter type, sample fee structure, calendar invite for the right partner). Hard cases route to a paralegal as before.
In week 1, intake median dropped from 2 days to 4 hours. By week 4, with confidence in the triage layer, the firm let the assistant book the right 60% directly. Median is now 11 minutes from inquiry to confirmed call.
Paralegals were freed up by 62% — they now handle the complex cases the assistant escalates, plus discovery and document review. Two were promoted into associate-track roles.
